Trading and distribution

Trading workflows start with parties, documents, and what is still outstanding

Distribution work fails when the bill, the godown note, and the party balance live in three places. This page describes what can be studied. It does not say every trading firm needs the same software.

What makes trading and distribution operationally different

A trading or distribution business sits between suppliers and customers. The same day can include an inward purchase, a godown movement, an outward bill, and a collection on an older invoice. The office question is rarely “what is the grand total of everything”. It is “what is pending with this party, and does the godown agree with the bill”.

Not every trader tracks quantity with the same care. Some need a stock balance. Some only need to know what was billed. Anywhere Anytime does not assume a warehouse system. Stock-related screens are included when your count is real and someone will maintain it.

Operational challenges

  • Customer and supplier identities overlap when a party both buys and sells with you.
  • Sales and purchase documents use different units or packages for the same goods.
  • Outstanding balances are chased from memory because the diary is not with the person on the phone.
  • A bill is written at the counter while the ledger is updated at night, so the two disagree until someone reconciles them.

Workflows that can be assessed

A purchase document can create a supplier history. A sales document can create a customer history. A receipt can reduce a receivable. A payment can reduce a payable. If you move stock, a dispatch or inward note can sit beside the financial document without pretending to be a full inventory product. The links are specified one by one.

Questions before implementation

  • Do you need quantity balances, or only document and money balances?
  • Can one party have two balances, and do you ever net them?
  • Where is the bill created: office, godown, or on a route?
  • Which document is trusted when the bill and the notebook disagree?

Questions from trading desks

Will this be a stock and distribution system?

Only if quantity tracking is in the scope. Many trading projects start with parties, bills, and outstanding amounts. Stock is added when the count is maintained in practice, not because the industry name suggests it.

Can route collections be entered against many parties?

They can, when a trip list is part of the workflow you describe. It is a specific screen, not a default feature of a party ledger.

Discuss a trading or distribution workflow

Tell us how a purchase becomes a sale and how you know a party’s balance. Stock is optional until you say you maintain it.
